How to add a user
This applies to all trainline for business accounts who have either signed for an account since August 2016 or had their account recently upgraded to a new dashboard.
The Administrator can now invite employees to join the trainline for business account which will allow the employees to book their business rail travel against the company account, making it easier for you to track and manage the account.
Once an invitation has been accepted, the employee is required to create their own profile within the trainline for business account.
To invite an employee, the Administrator selects Employees on the left-hand tab of the Managing your UK Business Dashboard.
On this screen, there are three tabbed headings.
Active - These are active employees who can book tickets on the trainline for business account.
Invited - A list of employees who have been invited to join the trainline for business account but have not accepted the invite nor created their profile.
Admins - A list of Administrators who will be able to access all bookings and all the information stored within the trainline for business account. It is recommended that you have at least 2 Admins in case of sickness or absence.
To invite employees, click the Invite Employees purple button in top right hand corner of the screen.
You will need to enter the Email address, First Name and Last Name of any employee you wish to invite. To invite multiple employees, you will need to click Add another employee or if you want to add a large list of employees at the same time please visit here.
Remember that each email address must be unique because the employee will use their email address as a username to log into their account.
After adding the employee(s), click Send invite. The employee will receive an invite to join the trainline for business account. The email is sent from firstname.lastname@example.org to remember to check the spam or junk inbox.
The employee should now click 'Join the team'. The employee is now asked to complete a profile with the following fields:
- Job title
- Choose a password
All the above fields are mandatory meaning the account cannot be created until all fields are completed.
Once the employee has created their profile, they will now appear in the Active tab within the Managing your UK Business Dashboard to be viewed by the Admins.
